2) Invite a colleague

  1. Click Invite on the Invite Colleagues card.
  2. Fill in:
    • Email address of your colleague
    • Account (select the right customer account if you have more than one)
    • Role (e.g., Reader, Engineer, Account Admin). Use Permission Matrix to check capabilities before you send.
  3. Click Invite.

Invite a Colleague dialog with email field, account selector, role dropdown and Permission Matrix button.

Tip: Use company email addresses where possible and follow least-privilege: pick the lowest role that enables the work.

3) Understand roles and permissions

Use the in-page Permission Matrix to compare roles. It shows which actions each role can perform (view/download licenses, upload usage data, see/download releases, read KB, use chatbot/e-academy, view/create support tickets, invite/confirm/administrate users, etc.).

Table listing permissions vs. roles with checkmarks by capability.

General guidance:
Visitor: minimal visibility.Reader: view-oriented access across modules.Engineer: operational tasks (e.g., uploads, downloads, create tickets).Account Admin: full administration, including inviting and managing users.Always confirm the exact rights in the Permission Matrix.

4) Approve pending confirmations & manage users

Open User Management → Manage Permissions.

  • Administratable Users (left): existing users you can edit.
  • Pending Confirmations (right): requests awaiting your approval.

5) Typical flows

  • New teammate needs access: Use Invite Colleagues, pick the appropriate role, send invite. If your org uses approvals, finalize under Pending Confirmations.
  • Role needs to change (e.g., Reader → Engineer): Go to User Management → Edit, adjust the Role, save.
  • User left the project: Edit User → Delete access for the account.

6) Troubleshooting

  • Invite not received: Ask the colleague to check spam/junk; verify the email address; resend.
  • I can’t see User Management or Approve buttons: You likely aren’t an Account Admin. Ask an admin to grant the appropriate role.
  • I’m unsure which role to pick: Open the Permission Matrix and select the least-privilege role that enables the tasks.

7) Security & governance tips

  • Least privilege first. Elevate only when needed.
  • Use work email addresses for traceability.
  • Review access regularly—remove stale users or downgrade roles that are no longer required.
  • Keep audit evidence (who approved which access and when) per your internal policy.
